This Privacy Policy describes how Softforce Consultants Private Limited (“Softforce,” “we,” “us,” or “our”) collects, uses, and protects information in connection with RepairGenie, our WhatsApp-based technical support interface (the “Service”), which allows technicians to query uploaded manuals and complete guided diagnostic checks through WhatsApp.
This policy applies to the RepairGenie WhatsApp bot, the associated web portal, and https://www.softforceapps.com (the “Website”). By using the Service, you agree to the collection and use of information as described in this policy.
1. Who we are
Softforce Consultants Private Limited operates the Service on behalf of organizations (“Customers”) that use RepairGenie to support their technical support and field technician teams. If you are a technician using the Service, your employer or the organization that engaged you is typically the Customer, and Softforce processes your information on their behalf as well as for our own service-operation purposes described below.
2. Information we collect
We collect the following categories of information when you interact with RepairGenie over WhatsApp or the web portal:
- WhatsApp account information: your WhatsApp phone number and, where provided by WhatsApp or your organization, your display name.
- Conversation content: the messages, questions, and guided-check responses you send to RepairGenie, and the responses RepairGenie sends to you.
- Manual and query metadata: which uploaded technical manuals or guided-check flows you access, and timestamps of your interactions.
- Technical and delivery data that WhatsApp/Meta provides to us as part of operating the WhatsApp Business Platform, such as message delivery and read status.
We do not intentionally collect precise device location, financial information, or government identification through the Service. We do not knowingly collect information from anyone we know to be under the age of 18.
3. How we use information
We use the information described above to:
- Operate and provide the RepairGenie chat interface, including answering technician queries against uploaded manuals and guiding technicians through diagnostic checks;
- Maintain conversation context and history so technicians can resume or refer back to prior guidance;
- Monitor, secure, and improve the reliability and accuracy of the Service;
- Provide usage information and support records to the Customer organization that administers the Service for its technicians;
- Comply with legal obligations and enforce our terms.
We do not sell technician information, and we do not use conversation content to serve third-party advertising.
4. How information is shared
We share information only in the following circumstances:
- With the Customer organization that administers your access to RepairGenie, since your queries and guided-check activity are part of the technical support record they use the Service to maintain;
- With WhatsApp/Meta Platforms, Inc., which operates the WhatsApp Business Platform used to deliver and receive messages, subject to Meta’s own applicable terms and policies;
- With service providers who host our infrastructure and support the Service’s operation, under confidentiality and data-processing obligations consistent with this policy;
- Where required by law, regulation, legal process, or governmental request, or to protect the rights, safety, or property of Softforce, our Customers, or others.
5. Data retention
We retain conversation content and related metadata for as long as necessary to provide the Service to the applicable Customer organization and for a reasonable period afterward for support, audit, and legal purposes, or as otherwise agreed with the Customer. You may request deletion of your information as described in Section 7, subject to any retention the Customer organization or applicable law requires.
6. Data security
We use reasonable administrative, technical, and organizational measures designed to protect information from unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your rights and choices
Depending on your location and applicable law, including the (Indian) Digital Personal Data Protection Act, 2023, you may have rights to:
- Access the personal information we hold about you;
- Request correction of inaccurate information;
- Request deletion of your information, subject to legal or contractual retention requirements;
- Withdraw consent to further processing by discontinuing use of the Service or messaging “STOP” to the RepairGenie WhatsApp number, where supported;
- Raise a grievance regarding how your information is handled.
To exercise these rights, contact us using the details in Section 10. Because RepairGenie is typically deployed by your employer or engaging organization, some requests may need to be coordinated with that organization as the party administering your access.
8. International data transfers
Softforce is based in India, and information collected through the Service is primarily processed and stored in India. Where information is transferred to or processed by service providers, including WhatsApp/ Meta, outside India, we take steps intended to ensure the information continues to receive an appropriate level of protection.
9. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. We will post the updated policy on this page with a revised “Last updated” date. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
